SnapInspect's Email Automation allows you to create various email templates that can be automatically sent to relevant recipients based on specific triggers.
Where to Set Up Email Automation
Go to the Company Settings section within the web app.
From the navigation bar, select the Settings option.
Click on the Email & Templates section to view your email template options.
Enter a name for your template and choose the desired template type.
Click on the "Add New Email Template" button to save your new template.
The Different Template Types
Request Inspection Confirmation: This email template will be sent to the external inspector after they have completed their requested inspection.
Request Inspection Email: This email template will be sent to the external inspector after you have requested an inspection.
Request Inspection Reminder: This email template will be sent to the external inspector as a reminder if they haven’t completed a requested inspection.
Review Inspection Email: This email template will be sent to the stakeholders you have requested to review the inspection.
Review Inspection Reminder: This email template will be sent to stakeholders as a reminder to review the inspection if they haven’t done so yet.
Schedule Inspection Reminder: This email template will be sent as a reminder for any upcoming scheduled inspections.
Send Inspection Email: This email template will be sent once an inspection has been completed and uploaded.
Send Schedule Email: This email template will be sent once an inspection has been scheduled.
Send Task Email: This email template will be sent as soon as the inspection containing tasks is uploaded.
Task Reminder Email: This email template will be sent to remind the assigned person to complete pending tasks from an inspection.
Update Inspection Status: This email template will be sent when an Inspection Status is changed.
Update Task Status: This email template will be sent when a task is changed.
Web Share Inspection Email: This email template will be sent when you share a web report.
Editing an Email Template
You can customize every part of the email template to fit your needs. In addition to changing the text, you can add relevant data from assets or inspections. To do this, follow these steps:
Click on the section of the template where you want to insert the information.
From the options available, choose the Dynamic Field option.
Choose the type of information you wish to add to your template from the available options.
Please Note:
Dynamic information will be displayed in the email within [[ ]] for example [[Address]]

How to set up Email Automation
Auto Email
Enable this option for emails to be sent automatically based on triggers. Once selected, the email template will become live.
Auto Email To
Add all relevant recipients who need to receive the email. Using the format Contact(Tenant) ensures that only recipients associated with the specific asset will receive the email.
Please Note:
Add all relevant recipients who need to receive the email. Using the format Contact (Tenant),Contact (Owner),Inspector,Property Manager,email address,[[Asset Custom Field Name]], ensures that only recipients associated with the specific asset will receive the email.
Ensure there is no spacing between each contact or email address if you decide to send this to multiple people.
Choose Inspection Type
To automate emails for specific inspections, add the relevant inspection types by clicking the blue and white plus "+" symbol and selecting the inspections you want to include.
Please Note:
For email templates associated with Request Inspection and Review Inspection, simply select the inspection types as the only required setup.
For email templates linked to Update Inspection Status and Update Task Status, you'll need to pre-select the statuses as triggers.
Selecting the "Status" box will display all statuses configured in your account. Choose the relevant status to trigger when the status is updated.

Choose Task Category: To add a task category, click the green and white "+" symbol. Then, select the task category that corresponds to your email.

Save/Delete Template: After finalizing your email template and settings, click 'Save Template.' If you wish to delete the template, click 'Delete.'
