Will tenants or external users see my account when I send a Request Inspection?

  • No, tenants or external users will not see your account details when you send a Request Inspection. They will only have access to the specific inspection they’ve been assigned and won’t see any other information related to your account or other properties.

What is the difference between scheduling and requesting an inspection?

  • Scheduling an Inspection
    This means you (as an internal user) are setting a specific date and time for the inspection. It’s typically used when your team or inspector is conducting the inspection, and you’re managing the schedule directly.

  • Requesting an Inspection
    This is used when you want to invite a tenant or external party (like a contractor or franchisee) to complete the inspection themselves. You’re not doing the inspection—you’re requesting someone else to do it. They’ll get a link to complete it but only see what they’re assigned to.

How do I add users to existing folders?

  • ​In SnapInspect, adding users to existing folders involves managing Folder Permissions through custom user roles. Here's how you can do it:​

    1. Create or Update a Custom Role:

    • Navigate to the Users tab in the SnapInspect web app.​

    • Click on Custom Role.​

    • To create a new role, select + New Role; to modify an existing one, choose Edit.​

    • Name the role appropriately and set its permissions.

    • Ensure you check the Folder Access Control option to restrict folder access.

    Note: Assigning this custom role to users ensures they can only access assets within folders they're members of.

    2. Assign Users to Folders:

    • Go to the Assets section and click on the Folder button.​

    • Select the folder you want to manage.​

    • In the folder settings, add the desired users as Members.​

    • Save the changes to update folder permissions.​

    Important: If a user with Folder Access Control enabled is not added as a member to any folder, they won't have access to any assets.

    3. Assign the Custom Role to Users:

    • In the Users tab, click the green Action button next to the user.​

    • Select Edit.​

    • In the pop-up window, assign the newly created custom role from the permissions dropdown.​

    • Save the changes to apply the new role to the user.​

    By following these steps, you can effectively manage user access to specific folders in SnapInspect, ensuring that each user only accesses the assets they're permitted to.

Can I see all my reports under the Building?

  • Yes, in SnapInspect, you can view all completed inspection reports associated with a specific Building.

    To do this:

    1. Go to the Assets tab.

    2. Select the Building you want to review and click the Action button.

    3. Select View Reports

    4. You’ll see all reports completed for any assets within that building.

Can I attach an external report to the asset?

  • ​Yes, in SnapInspect, you can attach external reports to a specific asset. Here's how:​

    1. Log in to the SnapInspect web application and click on the Assets tab.​

    2. Find the asset to which you want to attach the external report. Click the green Action button next to it.​

    3. From the dropdown menu, select Attach External Report.​

    4. A pop-up window will appear. Fill in the relevant details about the external report.​

    5. Click on the option to choose a file, select the PDF document of your external report, and then click Upload.​

    Note: Ensure that the external report is in PDF format for successful uploading.

Can I assign an asset to multiple folders?

  • Yes, you can assign an asset to multiple folders. To add an asset to a folder:

    1. Navigate to the Assets tab on the left-hand side of the SnapInspect web app.

    2. Click the Select button on the right-hand side.

    3. Click the checkbox next to each asset you want to add to the folder.

    4. Click the green Action button that appears on the left of Select.

    5. From the dropdown menu, select Add to Folder.

    6. Select your desired folder.

    7. Click the green +Add button at the bottom to assign the assets to that folder.

Can I assign a user to multiple folders?

  • Yes, in SnapInspect, you can assign a user to multiple folders.

Will deleting an asset remove my Inspection Reports?

  • No, deleting an asset will not remove any inspection reports that have been uploaded.

Can I access my Excel reports if I close my SnapInspect account?

  • No, once your SnapInspect account is closed, you will not be able to access your reports unless they have already been downloaded.

Can I change the date of an overdue schedule? Will users be notified?

  • In the SnapInspect WebApp's Assets tab, you can click on an overdue schedule and change its date. Users will not receive a notification when the overdue inspection date is updated.

How to download all photos from one inspection?

  • To download photos from an inspection, go to the Inspections tab in the SnapInspect Web app. Click the green Action button on the desired inspection, hover over Download Report, and select Download Inspection Photos.

Can I view all tasks related to the asset together?

  • There is two ways to view all tasks related to an asset in the SnapInspect WebApp:

    1. The Task tab

      • Log into the SnapInspect Web App.

      • Go to the Tasks tab on the left side.

      • Select the "Building & Unit" filter at the top.

      • Choose your Building and/or Unit.

      • Click the green Search button to the right of the filters.

      • The Asset tab

    2. The Asset tab

      • Go to the Assets tab.

      • Select the Building you want to review and click the Action button.

      • Select View Reports

      • You’ll see all reports completed for any assets within that building.

How many inspection types can I add to 1 checklist template?

  • There is no limit to the number of inspection types you can add to a single checklist template.

How can I track my inspection edits?

  • In the SnapInspect web app, you can track inspection edits by going to the Inspections tab, clicking the Action button next to the inspection, hovering over Tracking, and selecting View Log to see the edit history.


Can I see what email the inspection was sent to?

  • To see your Inspection email history:

    1. Navigate to the Inspections tab in the SnapInspect web app.

    2. Click the blue 'i' icon to the right of your desired inspection.

    3. Select the Email Status button at the bottom of the inspection to view your email history.

What is the difference between deleting vs archiving folder?

  • Archiving a folder temporarily removes it from active view without permanently deleting it. Archived items can be restored later by contacting SnapInspect if needed.

  • Deleting a folder is a permanent action, and once deleted, it cannot be recovered.

Why Can't I see My Report on the Web App?

  • If you cannot find your report on the SnapInspect Web App, check your filters and confirm that you are in the correct tab.

Will deleting a user affect my account or remove my inspections?

  • Once a User is deleted it will not remove any inspections that have been uploaded to SnapInspect.

Why Can't I Find My Inspection?

  • If you can’t see the inspection report in the web app, it likely hasn’t been uploaded to the cloud yet.

    To upload it:

    1. Open the SnapInspect mobile app

    2. Go to the Inspections tab

    3. Tap on the Completed section

    4. Tap the cloud icon next to the report to upload it

Can I see the location of the inspection?

  • How to View the Inspection Location in SnapInspect

    After completing an inspection, you can view its location by following these steps:

    1. Go to the Inspections tab in the SnapInspect web app

    2. Click the blue "i" icon next to the inspection

    3. Click the GPS coordinates to open the location in Google Maps

    Note: GPS location will not be displayed if the user’s device did not have GPS enabled at the time of the inspection.

Why can't my external user save comments or make edits on the Review Function?

  • External users are unable to save comments or make edits because the Web Review controls were not added, and the "Web Only" checkbox was not enabled.

    To enable it:

    1. Go to the Checklist page in the SnapInspect web app

    2. Click the pencil icon next to the checklist you want to edit

    3. Click the pencil icon next to the relevant Area or Item

    4. Add the control (e.g. text field, comment box, etc.)

    5. Enable the "Web Only" checkbox

    6. Save your changes

How to use Comments from the Comments Library on the web app?

  • Select the comment box during the inspection on the web app.

  • Type your comment directly. To load a saved comment from the library, type "#" and select the desired comment.

  • Click the save icon next to the comment box to save your comment.

Is the inspection date based on the start date, completion, or upload date?

  • In SnapInspect, the inspection date is based on the date the inspection was completed — not the start or upload date.
    This completion date is what appears on reports and in the inspection logs.

What does the duration of an inspection track?

  • The inspection duration measures the total time taken to complete the inspection.

How do I check my email log history and status?

  1. Navigate to the Inspections tab in the SnapInspect web app.

  2. Click the blue 'i' icon to the right of your desired inspection.

  3. Under Email Status, if the inspection email has been opened, the status will show as Open.

  4. Click the Open or View button to see your email history. 

Otherwise, click the "Action" button, select “Tracking,” and then click “Email” to view the log history.

How to download SnapInspect 3

  • To download SnapInspect on your iOS device, Click here and follow the App Store link.

How can I start the inspection if I didn't schedule it?

  • You don’t need to schedule an inspection in order to start one. To begin an unscheduled inspection:

    1. Open the SnapInspect mobile app

    2. Go to the Asset page

    3. Select the Asset (property/unit) you want to inspect

    4. Click the New Inspection button and select the Inspection type

Can I have multiple inspections ongoing at once?

  • You can run multiple inspections at once using the SnapInspect mobile app.
    Any inspection that hasn’t been completed will be moved to the "Inspections" “In Progress” tab, where you can pick up and continue running it at any time.

How long can my video be?

  • During an inspection, videos can be up to 5 minutes long by default.
