Smart Comments is a brand new function that SnapInspect has released and is only available for SnapInspect 3 customers. If you are still on the old platform SnapInspect 2 and you wish to use this function, please make contact with email@example.com to show an interest in a FREE migration to the new platform.
Smart comments can be found on the WebApp when logged in. This will be on your lefthand side of the WebApp as shown below.
When you have clicked on "Smart Comments" you will be presented with a lot of onscreen text and options. We will go through all of these promptly.
The above image is the options you will be presented with, some of you might feel a little confused as to what each button or section of the smart comments is used for or what they do. We will start off with the top bar of options.
The above image shows the first section of the smart comments. These tabs are all checklists that you would have either setup via SnapInspect on your own or have had us create custom checklists for you which are located and named here.
The reason why we have these all here is that for each checklist you will be able to create smart comments for separate checklists/inspection types.
The above image is the smart text section; this section is where you would create the word that would be used as a trigger to provide you options for that smart text. For Example: If I were to add the smart comment "Material" then that would be the trigger to offer options of let's say wood, steel, iron or whatever type of material you might want to have stored for this trigger.
When adding a smart comment, you will be able to give it a title but also the multiple smart texts.
The title is the name of the trigger and the smart text is the stored text. Just like my example above with material, the material parts would be set up as smart text, and the title would be material.
To add a smart text click on the blue + button and to delete the smart text simply click the red x button.
In the example, above we have used "Location" as the title and the Smart Text as the areas of location such as the door, window, floor or wall
If you wish to delete the entire Smart Text that you have created, you can do so by clicking on the red "Delete" button.
If you wish to save any changes you have made ensure you click on the blue "Update" button. Or to simply close the prompt window you can click on the gray "Close" button.
The above image is a list of all the areas/rooms that your checklist holds. Each area has two icons next to the area name which you can see on the right-hand side as shown above. These buttons are very useful as each one plays a different key role in how you would like to use the Smart Comments.
The blue button which has a picture of a speech bubble will allow you to apply the smart text for the entire area. This means it will be available for the whole area and not just for one item within that area.
When clicking on the blue button, you will be presented with the above options. These options will allow for you to create structured sentences with the smart comment triggers (Location and Fixes) which can be seen on the left-hand side of the image above.
On the right-hand side, you will see "Short Comments and Comments, this is highlighted in a green color. This is where you set a title for your smart comments and then the actual sentence structure in the comments section. Be sure to create sentences that will structure well with the triggers to makes sense and is easier to use. You can have as many smart text triggers in a sentence as you please.
Very important to know when using smart text triggers in sentences be sure to use two ** at the start of the trigger and two ** at the end of the trigger. No spaces between the ** and the word. This is very important as this makes the smart text function and without having these characters, it will not allow for the smart text to work.
The green button that has white lines going through it will allow the user to apply smart comments to only specific items rather than the actual area as shown in above instructions. The process is identical and can be applied to only items rather than the area/room.
